EHIC card
This entitles you to receive medical treatment for free
or at a reduced cost when you are abroad. You can get
information about applying or apply online at https://www.ehic.org.uk/InternetPROD/home.do
Don't forget that some treatments which
might be free in the UK may not be so in your destination
country, even with this card.
Don't forget that you may need money
to pay for health care and that an excess will apply (usually
£25) before the insurance company will pay towards the
cost of your care. Any payments you make are recoverable
by you, although we will provide advice and the appropriate
documentation as necessary.
If additional funds are needed whilst you are abroad,
we can very occasionally arrange for money to be given
to you by our Group Leaders and then taken from the £50
caution deposit cheque held in the office. This is only
possible in very difficult circumstances.
Medical conditions
You MUST declare any pre-existing medical
conditions to the insurance company in order to be covered.
We also need to know about anything which might affect
your ability to take part in the work experience programme.
ACTION
Call us on 0115 9404 500 and ask for a copy of the pre-existing
condition form; tell us about your condition on the application
form; include other information on a separate sheet if
necessary.
Insurance
Please make sure you that you are fully aware of all
terms, conditions and limitations of the insurance policy.
PLEASE NOTE THE EXCLUSIONS IN PARTICULAR, for example
you are not covered for:
- any single item or set of items worth over £200;
- cash over £200;
- any valuables not kept safely on your person or in a
locked room and preferably in a safety deposit box (available
in some hotels) – why not consider buying a padlock
for your suitcase?
- any thefts not reported to the police within 24 hours
of the discovery of the event of loss.
Booking conditions
Please take careful note of the cancellation charges
levied should you change your mind about going for a reason
not covered by the insurance.
If you cancel:
- your deposit will definitely be lost;
- between 6 and 10 weeks before departure, you will lose
50% of the total price of the trip;
- between 2 and 6 weeks before departure, you will lose
75% of the total price of the trip;
- less than 2 weeks before departure, you will lose 100%
of the total price of the trip.
YOU ARE LIABLE FOR THESE CHARGES and
not the school or trust fund which has
paid for you as it is YOU and YOUR parent or guardian
who have signed up to the booking conditions.
You MUST put your cancellation
in writing within 48 hours of informing us of
your intent to cancel before we or the insurance company
can refund any money to you (see booking conditions).
If you have to cancel for a reason covered by your insurance,
eg ill health, we will provide you with appropriate documents
on receipt of your written notification of cancellation.

Transferring
In some circumstances, it may be possible to transfer
your place to a trip at a later date. We need to know
about this in writing as soon as possible.
If you fail to let us know soon enough, costs may be incurred
(see booking conditions). If you had intended to travel
by air, we will probably have to charge you the cost of
the flight. Should your reason be covered by the insurance,
we would be happy to furnish you with the relevant documentation.
